Terms & privacy

This page explains what Depot Square Events collects when you use this website, how we use it, and the choices you have. It applies to depotsquareevents.com and the forms on it.

How we handle your information

There are many things you can do on this site, including learning about the venue, checking open dates on the calendar and requesting a tour or a quote. When you share information with us, for example through the tour request form, we can serve you better. As you use the site, we want to be transparent about how we use information and how you can protect your privacy.

Our privacy policy explains what information we collect and why we collect it. It explains how we use that information. And it explains the choices we offer, including how to access and update your information.

We keep it as simple as we can. If terms like cookies, IP addresses, pixel tags and browsers are new to you, please read up on them first. Whether you are planning your first event with us or your fifth, take the time to know how we work. If you have questions, call (615) 206-3412.

Information we collect

We collect information to provide better service to everyone who uses the site. That ranges from tailoring the site to your location to contacting you about your tour request or event date. We collect information in two ways.

First, information you give us. When you request a tour, ask for pricing or book an event, we ask for details like your name, email address and phone number. Depending on the request, we may also ask for payment details. Some information may be required in order to serve you.

Second, information we get from your use of the site. We may collect information about how you use the site and our forms. The categories below describe what that can include.

Device and log information

We may collect device specific information, such as your hardware model, operating system version, unique device identifiers and mobile network information, including phone number. Depot Square Events may associate your device identifiers or phone number with your record.

When you use the site, we may automatically collect and store certain information in server logs. This may include details of how you used the site, such as the pages you visited. It may include telephony log information like your phone number, calling party number and forwarding numbers. It may also include the time, date, duration and type of calls, and SMS routing information.

Logs may also include your internet protocol address. They may include device event information such as crashes, system activity, hardware settings, browser type and browser language. They may record the date and time of your request and the referral URL. And they may include cookies that uniquely identify your browser for internal or third party services.

Location and local storage

When you use the site, we may collect and use information about your actual location to tailor our services to your area. That can include GPS signals sent by a mobile device. We may also use other technologies to determine location, such as sensor data from your device about nearby Wi-Fi access points and cell towers.

We may collect and store information, including personal information, locally on your device. We do this using mechanisms such as browser web storage, including HTML5, and application data caches.

Cookies and anonymous identifiers

We use various technologies to collect and store information when you visit the Depot Square Events website. This may include sending one or more cookies or anonymous identifiers to your device. We may also use cookies and anonymous identifiers when you interact with advertising served through networks such as Google AdSense.

How we use what we collect

We use the information we collect to provide, maintain, protect and improve the site, to develop new services, and to protect Depot Square Events and our users. We also use it to offer you content tailored to your location.

When you contact Depot Square Events, we may keep a record of your communication to help solve any issues or to tailor our services. At our discretion, we may use your email address or other contact information to follow up on issues or quotes. We may also use it to tell you about future events and promotions.

We use information from cookies and other technologies, like pixel tags, to improve your experience and the quality of our services. For example, saving your location or language lets us show regional information or the language you prefer. When showing you tailored ads, we will not associate a cookie or anonymous identifier with sensitive categories, such as race, religion or health.

We may combine personal information from one service with information from other services. For example, if you submit a request without a phone number and call us later, we will add your phone number to our records. We will ask for your consent before using information for a purpose other than those set out in this policy.

Transparency and choice

People have different privacy concerns. Our goal is to be clear about what we collect so you can make meaningful choices about how it is used.

You may set your browser to block all cookies, including cookies associated with our website, or to tell you when we set a cookie. Remember that parts of the site may not work properly if cookies are disabled. For example, we may not remember your language preferences.

Information you share

Any information you choose to share with Depot Square Events will not be shared without your prior permission.

Accessing and updating your information

Whenever you use our services, we aim to give you access to your personal information. If that information is wrong, we try to give you ways to update it quickly or delete it. The exception is information we must keep for legitimate business or legal purposes.

To update your personal information, contact us. We may ask you to verify your identity before we act on your request.

We may reject requests that are unreasonably repetitive or require disproportionate technical effort, such as building a new system or changing an existing practice. We may also reject requests that risk the privacy of others or are extremely impractical, such as requests about information stored on backups.

Where we can provide access and correction, we do so for free, except where it would require disproportionate effort. We maintain the site to protect information from accidental or malicious destruction. After you ask us to delete your information, we may not immediately delete residual copies from our active servers, and we may not remove it from backup systems.

Information we share

We do not share personal information with companies, organizations or individuals outside Depot Square Events unless one of the following applies.

With your consent. We will share personal information outside Depot Square Events after getting your consent to do so. We require opt-in consent for sharing any sensitive personal information. For example, if you ask us to pass your details to an outside vendor, we share them so that vendor can contact you directly.

For external processing. We provide personal information to our affiliates or other trusted businesses or persons to process it for us. They act on our instructions, in compliance with this privacy policy and appropriate confidentiality and security measures.

For legal reasons. We will share personal information outside Depot Square Events when we have a good faith belief that disclosure is reasonably necessary. That includes meeting any applicable law, regulation, legal process or enforceable governmental request.

It also includes enforcing our terms, including investigating potential violations, and detecting, preventing or addressing fraud, security or technical issues. And it includes protecting the rights, property or safety of Depot Square Events, our users or the public, as required or permitted by law.

We may share aggregated, non personally identifiable information publicly and with our partners, like agencies, marketers or consulting firms. For example, we may share statistical information about site traffic.

If Depot Square Events is involved in a merger, acquisition or asset sale, we will continue to protect the confidentiality of personal information. We will give affected users notice before information is transferred or becomes subject to a different privacy policy.

Information security

We work hard to protect Depot Square Events and our users from unauthorized access to the information we hold. The same goes for unauthorized alteration, disclosure or destruction of that information.

We encrypt many of our services, particularly payment information, using SSL. We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access to systems.

We restrict access to personal information to Depot Square Events employees, contractors and agents who need it in order to process it for us. They are subject to strict contractual confidentiality obligations and may be disciplined or terminated if they fail to meet them.

Where this policy applies

This privacy policy applies to all services offered by Depot Square Events and its affiliates, including services offered on our other sites. It excludes services that have separate privacy policies that do not incorporate this policy.

This policy does not apply to services offered by other companies or individuals, including vendor sites or sites linked from our pages. It also does not cover the information practices of other companies and organizations that advertise our services. They may use cookies, pixel tags and other technologies to serve and offer relevant ads.

How we enforce it

We regularly review our compliance with this privacy policy. We also adhere to several self regulatory frameworks. When we receive formal written complaints, we contact the person who made the complaint to follow up. We work with the appropriate regulatory authorities, including local data protection authorities, to resolve any complaints about the transfer of personal data that we cannot resolve directly.

Changes to this policy

This privacy policy may change from time to time. We will not reduce your rights under this policy without your explicit consent. We will post any changes on this page. If the changes are significant, we will provide a more prominent notice, which for certain services may include email notification.

We will also keep prior versions of this policy in an archive for your review.
